Acceptance of Terms
By paying your rental fee, you acknowledge and agree to these rental terms and conditions for your stay at 16Tulum.
What’s Included in Your Stay:
• Accommodation: Enjoy comfortable lodging for up to 18 guests in 8 beautifully appointed bedrooms.
• Chef Services: Indulge in delicious meals prepared by your own private chef throughout your stay.
• Concierge Services: Our dedicated concierge is here to assist you with transportation, activities, and more.
• Housekeeping: Daily housekeeping keeps the villa in pristine condition, allowing you to relax and enjoy your getaway.
• Security: Rest easy with a nightly security guard ensuring the safety of the property and your guests.
General Information:
- Check-in/Check-out: Check-in is at 5 PM, and check-out is at 10 AM. Please adhere to these times to ensure a smooth transition between guests.
- Occupancy Limit: The villa is designed to accommodate a maximum of 18 guests. All guests must be registered at check-in with a valid ID. Our rates are based on an occupancy of 8 guests, with a maximum capacity of 18 people, and additional guest fees apply as follows: $200 USD per person during New Year, $100 USD per person during the festive season, and $75 USD per person during high, mid, and low seasons; if extra guests are added after your reservation is confirmed, you must inform the manager and pay the applicable fees, as guest count will be monitored during the stay to ensure compliance.
- Service Providers: All services provided on the property must be arranged through our team and trusted providers. External service providers are not permitted.
- Quiet Hours: To ensure a peaceful environment, quiet hours are enforced from 11 PM to 7 AM.
- Smoking Policy: Smoking is strictly prohibited inside the villa, including bedrooms, patios, deck chairs, and sofas. Smoking is allowed in designated garden areas only, and proper disposal of cigarette butts is required. A penalty of $500 USD per room will be charged for any violations.
- Pet Policy: Pets are not allowed on the property.
Accommodation Details:
The villa is thoughtfully designed to comfortably host up to 18 adults across 8 luxurious bedrooms. All guests must be registered at check-in, and guest substitutions during the stay are not permitted.
Day Guests:
Villa residents can invite up to 2 non-resident guests to visit during the day, bringing the total number of individuals on the property to 20. These additional guests are welcome to use the common areas between 7 AM and 11 PM. If the number of guests exceeds 20, written authorization from management is required, along with a $60 USD day-use fee per extra guest.
Additional Accommodations:
If you need extra accommodations for your guests, we can assist in finding nearby lodging options to suit various preferences and budgets, including upscale hotels and family-friendly Airbnbs. Let us know your needs, and we’ll help you find the perfect place.
Chef Services:
The services of our private chef are included for an 8-hour daily shift, covering all meal preparations and cleaning for up to 18 guests. Please note that ingredients are not included and must be purchased separately based on personalized menus. We offer menu suggestions along with an estimated cost for the associated ingredients. For your convenience, the villa staff can handle all purchases, which will incur a 20% service fee on the purchase receipt. All payments should be made in advance by wiring a service deposit to our account, with a minimum purchase of $150 per trip required.
Concierge Services:
Once your reservation is confirmed, our concierge is available to coordinate services through our trusted network of providers. We can arrange a variety of offerings, including airport transfers, local transportation, catering, decorations, wellness activities, boat trips, excursions, and reservations at top beach clubs and restaurants. We partner with high-quality providers to ensure a seamless experience tailored to your needs.
Service Pricing:
Please note that service prices may fluctuate between the time of booking and the actual service date. Payments for services are made directly to the provider according to their terms. 16Tulum acts as a facilitator and is not responsible for any agreements made with external providers. Quotes are valid for 24 hours, and prices may change without notice.
Events, Parties, and Noise Control:
- Quiet Hours: Noise restrictions are in effect from 11 PM to 7 AM. Please respect these hours to maintain a peaceful environment for all neighbors.
- Authorized Events: If you wish to host an event, written permission from the villa owners is required, along with an event contract and associated fees. The event fee covers a single event, which must conclude by 11 PM unless a special permit is obtained. Dismantling must be completed by midnight. Our team will ensure the venue is in perfect condition and provide minor coordination and technical support on the day of the event. Hosting multiple events or inviting additional non-resident guests may incur extra fees and must be pre-approved by the villa owners.
- Unauthorized Events: Hosting unauthorized events, bringing non-resident guests onto the premises without prior owner approval, using external sound systems, or bringing in DJs without permission is strictly prohibited. Violations will result in the forfeiture of the damage deposit and immediate expulsion without a refund.
Event Planning: Event planning, design, and additional services like furniture rentals, floral arrangements, catering, and photography are not included in the rental fee and must be arranged separately with external providers.
Refundable Damage Deposit and Penalties:
- Damage Responsibility: Guests are responsible for any damage incurred during their stay. The security deposit is held to cover potential damages, business losses, unpaid services, and fines resulting from non-compliance with Mexican laws or villa rules.
- Non-Permissible Actions: It is strictly prohibited to paint, stain, nail, glue, staple, or screw objects onto walls, ceilings, windows, floors, or any part of the premises.
- Glass in Pools: Broken glass in the pools will result in charges for emptying, cleaning, and refilling the pool.
- Linen Care: Sheets and towels are changed every three days. Guests are responsible for handling linens with care; charges will apply for damaged items.
- Smoking Violations: Smoking is prohibited indoors; a $500 USD penalty per room will apply for violations.
- Rule Compliance: The house staff may verify compliance with these rules. Non-compliance may result in warnings and, in severe cases, expulsion without a refund.
Liability, Safety, and Responsibilities:
- Liability Waiver: By paying your rental fee, you release 16Tulum, its owners, agents, and employees from any liability for loss of personal property, personal injury, or death during your stay.
- Parking: Parking is available at 16Tulum. Guests park at their own risk, and 16Tulum is not responsible for theft, damage, or accidents involving vehicles on the premises.
- Weather and Utility Issues: 16Tulum cannot be held responsible for weather conditions, power outages, or water shortages due to the remote location. A generator is available for basic amenities, but disruptions are beyond our control.
- Hurricane Policy: In the event of a named hurricane making the property unsafe or uninhabitable, guests will be notified, and their stay will be rescheduled within one year, subject to availability. This policy only applies to named hurricanes that directly affect the property.
- Illegal Activities: Engaging in illegal activities, including drug use, will result in the forfeiture of the damage deposit and immediate expulsion without a refund for violating Mexican law or local regulations.
- Valuables: 16Tulum is not responsible for the loss, damage, or theft of valuables left in guest rooms. Ensure all doors and windows are locked when leaving the villa and after service providers' visits.
- Pool Safety: No lifeguard is on duty at the pools. Guests are responsible for their own safety. Children must always be supervised by an adult. Eating or drinking in the pools is prohibited. 16Tulum is not liable for pool-related accidents.
Lost Items: Items left behind will be kept for up to five days for collection. After that time, unclaimed items will be disposed of at the villa’s discretion.
Sustainability Practices:
- Environmental Responsibility: Tulum is a paradise with a delicate ecosystem. Please minimize plastic use and opt for refillable bottles. We provide a filtered drinking water tap in the kitchen, treated through an osmosis system, which is safe to drink.
- Waste Disposal: The villa operates off the grid and uses a septic water treatment system. Do not flush anything down the toilets, including toilet paper. Use the provided trash bins for all waste. Improper disposal can cause blockages and incur additional plumbing costs.
- Energy Conservation: To support our sustainability efforts, please turn off lights and air conditioners when leaving rooms. Avoid leaving the A/C on with doors or windows open to prevent compressor damage and reduce energy consumption.
